On behalf of the union I would like to congratulate you on your election as delegate. Your work as a delegate is critical to the maintenance of a strong union organisation. Such organisation will ensure that we maintain and improve our rates of pay and conditions of employment. The preservation of union organisation and award observance is absolutely essential. We have provided links to publications and circulars which should assist you in carrying out your responsibilities. I would request that you take this duty seriously and study the material so that you can effectively work as a delegate. In addition to your work on the job it is required that you participate in the broader campaigns and activities of the union. I request that you examine all delegates’ circulars which will be sent to you regularly and bring them to the attention of the membership. Any further information you require can be obtained from the union office. Your attendance and participation in delegates’ meetings will assist, ensuring that the needs and expectations of the rank and file are properly considered. It is necessary that you, as a representative of the union, conduct yourself in a proper fashion. At all times you need to ensure that you base yourself on decisions of the membership. With the full support of the rank and file it will be difficult for any employer to victimise you for your activities as a delegate. An official receipt book can be provided (if requested), and I take this opportunity to emphasise to you the importance of ensuring that you are accountable for all fees collected. Instructions and guidelines for the operation of a receipt book must be observed. All monies collected must be returned to the union office within 14 days so that the member’s records can be immediately credited with their payment. Finally, the receipt book must be returned to the union for audit, irrespective of whether money has been collected or not – the date of which you will be notified, twice per year. Under no circumstances is the receipt book to be passed on to another person. When you are finished with the receipt book, please return it to the union office. Links to publications and circulars
